Payments and Deposit

Our De Waterkant accommodation rates are:

• quoted in South African Rand
• inclusive of 14% VAT
• quoted per room or cottage for 1 or 2 persons
• with breakfast included for rooms
• exclude breakfast for cottages
• subject to change without notice
• all outstanding charges will be deducted from guests credit card

Standard deposit and payment for accommodation:

• 50% deposit to confirm booking
• full payment on arrival and check-in
• credit card details required for security
• all major credit cards accepted

Cancellation Policy

All cancellations must be given in writing, by fax or e-mail

Standard:

Cancel less than 24 hours prior to arrival or during stay		Forfeit full payment due
Cancel less than 72 hours before arrival date		Forfeit full deposit
Cancel between 72 hours and 14 days prior to arrival date		Forfeit 50% of deposit
Cancel 21 to 28 days prior to arrival date		Forfeit 25% of deposit
Cancel at all other times		Forfeit 10% of deposit

Booking Conditions

1. Conditions of Stay
   Rooms and cottages are allocated according to availability. Requests for particular Rooms and Cottages will be granted where possible. The owners and the management of The Village Lodge Accommodation Portfolio will not be held responsible for any loss or damage of property brought onto the premises.

   The Owner and Management Company cannot be held responsible for:

   1.1.	Any loss or damage to the property or possessions of any guest, resident or visitor, whether such damage was caused by fire, theft or otherwise, or by negligence or the wrongful act of anyone in the employment of or acting on behalf of the owner/management.
   1.2.	Any personal injury of what so ever nature, sustained by a guest, visitor, whether such injuries were sustained by the negligence or wrongful act of anyone employed by the owner/management or any other person or by the defective functioning of any apparatus or appliance of the owner/management.
   1.3.	Any person who signs the check in document and who is accompanied or visited by any other person, or who is accompanied or visited later by any other person, safeguard the owner/management against any responsibility towards any person in the instances explained in the conditions in paragraph 1.1 and 1.2.

   The guest by signing this form, warrants that he/she is duly authorized to sign for and bind all persons represented by him/her or for whom he is responsible to those conditions of residence and failing such authority, aggress to be personally liable for all amounts arising from the residence of himself/herself and his/her party at The Village Lodge.

2. Payment
   A 50% deposit is required to make a booking with the final balance of the accommodation payment paid on check in. On confirmation of booking, full credit card details should be provided as security.

3. Number of persons
   Overnight accommodation is strictly according to the number of persons as per the reservation document. Should the manager find more persons than those stated it is totally up to his/her discretion to ask the guests to vacate the property. No camping is permitted on the property grounds.

4. Amendment charges
   In the event of you wishing to alter your details of a confirmed booking of accommodation there will be an amendment charge of R100. All amendments must be confirmed to us in writing.

5. Alterations and cancellations by us
   Though it is unlikely that we will have to make any changes to confirmed arrangements, it does occasionally happen, and we will advise you at the earliest possible date. If for any reason beyond our control, we are unable to provide you with the room/property you have booked, we reserve the right to transfer you to a similar room/property. However if this is not possible or you do not wish to be transferred, we will cancel the booking and refund the amount paid to us for the room/property, but we will not be liable for any cancellation charges for travel arrangements.

6. Arrival & departure times
   Guests normally arrive after 14:00 and depart before 11:00. In most cases we will allow early check in and late check out if the room/property is available. Please check with us when you know your travel details.

7. Minimum letting period
   A minimum letting period of five nights applies from 22nd Dec to 4th Jan. A minimum letting period of two nights applies to Cottages from 5th Jan to 30th March. A minimum letting period of two nights applies to all public holidays. All minimum letting periods are at the discretion of management.

8. Minimum person occupancy
   A minimum number of persons or equivalent rate applies to Cottages with three + rooms between 22nd Dec to 4th Jan.

9. Children - Cottages only
   A couple of our cottages can accommodate children; under 2 years stay free of charge. Children between 2-12 years are charged at the additional person rate. Cots without bed linen are available at R70 per night.

10. Smoking
    For the comfort of all guests we do not allow any smoking inside any of the Village Lodge properties. Smoking is permitted on all exterior terraces, balconies and roof decks unless marked or instructed otherwise.

11. Complaints
    If you have any problems during your stay please contact a member of the management team.

12. Behaviour
    The guest signing the contract is responsible for the correct and decent behaviour of his/her party. Should the guest and his/her party behave in such a manner that is not acceptable by civilized standards, the management may ask the client and his/her party to vacate the property.
